This Privacy Policy explains what personal information Forgotten Rites Publishing collects, how we use it, and the choices available to you when you visit or make a purchase from forgottenritespublishing.com.

Information We Collect

When you place an order, we collect the information needed to complete it, including your name, email address, billing address, and shipping address. If you create an account, we collect your account details. If you subscribe to our newsletter, we collect your name and email address. If you use our contact form, we collect whatever information you choose to submit. We also automatically receive some technical information from your browser, described in Technical Information and Server Logs below.

Orders and Customer Accounts

Order information is stored in our WooCommerce store database, including the items purchased, shipping and billing details, and order status. You may check out as a guest or create an account. If you create an account, your order history is associated with it.

Payment Processing

Card payments are processed through WooPayments, our payment processor. When you enter your card details at checkout, they are sent to our payment processor and are not stored on our servers. We do not store full card numbers. Our store retains a limited transaction record for each order, such as the card brand, the last few digits of the card, and a payment reference number, so we can identify and manage the order. If you choose to save a payment method for future purchases, it is stored as a secure token by our payment processor rather than as a full card number.

Print Fulfillment and Shipping

Most Standard edition books are printed and shipped through our print-on-demand partner, BookVault. To fulfill your order, BookVault receives the information needed to produce and ship it, including your name, shipping address, and the items ordered. Shipping carriers receive your name and shipping address to deliver your order and, where applicable, to provide tracking information. If you have a question about a BookVault-fulfilled order, please contact us directly rather than BookVault, since we manage all customer communication.

Newsletter Subscriptions

Subscribing to our newsletter is optional and is not required to place an order. If you subscribe, we collect your name and email address through our email service provider, Kit, and use it to send newsletters and updates about new releases. Every newsletter email includes an unsubscribe link, and you can unsubscribe at any time.

Contact Forms and Email

Our contact form is powered by Contact Form 7. Information you submit through the form is sent to us by email and is not stored in a separate database on our site. Site-generated email, including order confirmations and contact-form messages, is delivered through a third-party email delivery service.

Technical Information and Server Logs

Like most websites, our server automatically records some technical information when you visit, such as your IP address, browser type, and the pages you visit. Server logs may include your IP address, browser information, request details, and the pages you visit. This information is used for security, troubleshooting, fraud prevention, abuse prevention, and site maintenance. It is not ordinarily used to identify you by name, though it may be used to distinguish requests, investigate suspicious activity, protect the site, or comply with legal obligations.

Cookies

Our site uses cookies for a few purposes. Some are strictly necessary, such as keeping your shopping cart working during checkout. Some are used by WooCommerce’s built-in order attribution feature, which records how a customer found our site, such as through a search engine or a link, so we can understand which channels bring customers to the store. Our payment processor may also set a cookie for fraud prevention. We do not currently use cookies for third-party advertising, and no separate analytics or advertising service is installed on this site.

We do not use a cookie banner at this time. If you would prefer not to receive non-essential cookies, you can block them in your browser settings, though this may affect the shopping cart and checkout functionality.

Our site or the services we rely on may also set other functional, session, security, or fraud-prevention cookies necessary to maintain your session, prevent abuse, protect transactions, or operate connected services. The specific cookie names or providers may change over time as WordPress, WooCommerce, WooPayments, or other connected services are updated. We do not claim that every cookie we have not specifically named above is used for advertising or analytics.

How We Use Information

We use the information we collect to process and fulfill orders, communicate with you about your order, respond to questions and provide customer support, send newsletters if you have opted in, maintain and improve our website, and comply with legal obligations.

When We Share Information

We do not sell your personal information. We share information only as needed to operate our store: with our payment processor to handle transactions, our print and fulfillment partner to produce and ship physical orders, shipping carriers to deliver orders and provide tracking, and our email and newsletter service providers to send site-generated email and newsletters. These providers process information under their own privacy and security practices and, where applicable, the agreements governing the services they provide to us.

Data Retention

We keep personal information only as long as reasonably necessary for the purpose it was collected for. Our store uses the following schedule for orders and accounts, based on WooCommerce’s built-in data retention settings: inactive customer accounts may be deleted after 24 months of inactivity. Pending unpaid orders may be removed after 7 days. Failed orders may be removed after 30 days. Canceled orders may be removed after 12 months. Personal information in completed and refunded orders may be retained for up to 7 years for accounting, tax, fraud-prevention, dispute-resolution, and legal purposes.

After the applicable period, our store may delete, trash, or anonymize the affected information depending on the type of record, while preserving non-personal sales statistics where applicable. Orders that are still Processing or On Hold are retained while they remain active and are not subject to these timeframes.

If you have subscribed to our newsletter, we retain your subscription information until you unsubscribe or otherwise ask us to remove it, subject to any applicable legal obligations. If you contact us through our contact form or by email, we may retain that correspondence as reasonably necessary to respond to you, document the interaction, resolve disputes, prevent abuse, or comply with legal obligations.

Some information may remain longer than the periods above in backups, security records, our payment processor’s systems, our print and fulfillment partner’s systems, or other third-party systems, under their own retention practices and legal obligations. No deletion right is absolute when records must be kept for legitimate accounting, transaction, fraud-prevention, dispute-resolution, or legal purposes.

Your Privacy Rights

Depending on where you live and which privacy law applies to you, you may have rights regarding your personal information. These can include the right to access the information we hold about you, correct inaccurate information, request deletion, restrict or object to certain processing, receive a copy of your information in a portable format, and withdraw consent where processing is based on consent.

Some records may be retained even after a request when required for legitimate legal, accounting, fraud-prevention, or transaction purposes. To make a request, contact us using the information below. We may need to verify your identity before responding. Depending on your location, you may also have the right to lodge a complaint with your local data protection or consumer protection authority.

Data Security

We take reasonable steps to protect the personal information we hold, including relying on our payment processor’s security measures for payment data and limiting access to order information to what is needed to operate our store. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Third-Party Services

We use a small number of third-party services to operate our store: WooCommerce and WooPayments for our store platform and payment processing, BookVault for print fulfillment, shipping carriers for delivery, Kit for newsletter delivery, Contact Form 7 for our contact form, and a third-party email delivery service for site-generated email. Each of these providers has its own privacy practices.
